The personal information collected and used in the course of our management is essential. By accepting the collection and use of your information, you agree to the terms and conditions of our current policy. We recognize the importance of protecting privacy. Through this policy, we are committed to preserving it while complying with current legislation. This policy applies for as long as we hold your personal information.

Types of Information

The information we may request includes:

  • identification: first name, last name, date of birth, gender, citizenship status, social insurance number, health insurance card, driver’s license;
  • contact details: address, phone number, and email address;
  • employment: banking information and criminal records;
  • others: health record, report card, bulletin, intervention plan.

Collection and Use of Information

We collect and use your information when:

  • you complete an admission application;
  • you sign the service contract (educational, transportation, etc.);
  • you are hired by the academy;
  • you are a service provider;
  • you rent space at the academy.

These personal information are accessible to anyone for whom this information is necessary to perform their duties.

When you browse the academy’s website, certain information about your visit and interactions with our ads and content is automatically exchanged with the browser. They are collected for technical and statistical purposes.

Disclosure of Information

No disclosure of information is allowed except in cases authorized or required by law. In such cases, we ensure that your information is protected according to the prescribed law.

We therefore share specific information with:

  • the Quebec Ministry of Education for the student record and other organizations (schools and hospitals) when transferring an authorized student by parental authority;
  • our financial institution for banking transactions;
  • the Intermunicipal Police Board for criminal record checks;
  • certain suppliers (clothing collection, textbooks, photography, and transportation).

The academy cannot disclose personal data without the written consent of the individual concerned or in the case of a minor student, the person holding parental authority. However, we may consent if we receive a written request from the individual concerned or the person holding parental authority. A verification will be conducted to ensure the accuracy of the request.

Our website provides hyperlinks to other sites. The information exchanged on these sites is not subject to this privacy policy.

Retention and Destruction

Documents containing personal information are kept in binders with limited access or in the secure operating system used for academy management. They are used by the individual concerned as long as they are necessary to perform their function. Afterwards, they are destroyed according to the retention schedule required by the Library and Archives of Canada Act. When destroying paper documents, we take all necessary measures to ensure the confidentiality of the destroyed items.

Security Measures

Académie Nour constantly ensures the protection of personal information. Security measures in place include:

  • physical security measures such as locked binders and access to premises restricted to relevant personnel only;
  • technological security measures such as regularly changed passwords, multifactor authentication, firewall system operation, daily updated software to detect viruses, identity theft, unauthorized access, and malicious uses, data transmission from secure platforms, daily system backups via an independent internal network, isolated networks based on the needs of the user;
  • administrative security measures such as limited information according to the relevance of knowing the information as well as restricted access control in the operating system, appropriate document destruction according to the guidelines established by the Library and Archives of Canada Act, IT staff training to ensure the most up-to-date protection, partnership with an external firm to validate the security of the operating system, verbal and written reminders regarding the importance of ensuring the protection of confidential information, etc.
